Privacy notice

This explains what the Krishnan Computer Education learning management system records about the people who use it, who can see it, and how long it is kept. It covers the system at kcetuty.in and nothing else.

Who is responsible

Krishnan Computer Education decides what is recorded in this system and why. The institute runs its own centres at Pudukottai, Sekkarakudi, Korampallam.

What the system records

For a student enrolled at one of the centres, the system holds:

  • Name, student code, date of birth, gender, address and the WhatsApp number given at admission.
  • A photograph, when the centre uploads one.
  • Which course and batch the student is enrolled on, and the dates of admission and completion.
  • Daily attendance, including the times the student signed in and out of a practice session.
  • Fees agreed, payments received and the receipts issued for them.
  • Typing practice and examination activity: the passage typed, speed, accuracy, mistakes and marks.

For staff it holds a name, a login and the centre they work at. The system also keeps a record of administrative actions, so the institute can see who changed what.

Why it is recorded

To teach and examine the courses the student enrolled on, to mark attendance, to collect and account for fees, and to issue results and certificates. The institute also uses it to contact students about their own course.

Messages sent to students

The system sends WhatsApp messages to the number given at admission. These cover admission confirmation, absence reminders, fee reminders and receipts, examination results, birthday wishes and replies to enquiries. Messages are sent through WhatsApp, which handles them under its own terms.

A student who does not want these messages should tell their centre, which can switch them off.

Who can see it

Staff of the centre a student is enrolled at, and the institute administrator. A student signing in sees only their own record. Nothing is sold, rented or shared for advertising, and nothing is given to anyone outside the institute except where the law requires it.

Where it is stored, and backups

The system runs on a server in India. A backup runs every night: a copy of the database and of the student photographs. Nothing else is copied, because everything else in the system can be produced again from the database.

Those backups are uploaded to a Google Drive folder belonging to the institute, so a copy exists away from the server. The system uses Google Drive only to write and delete its own backup files. It cannot see, read or alter anything else in that Google account, and the information in the backups is not used for any purpose other than restoring the system. Backups are deleted automatically after three days, on the server and in Google Drive alike.

How long records are kept

Student records are kept for as long as the institute needs them to prove a student’s enrolment, attendance, payments and results, which usually means for the life of the institute’s obligations to that student. Backups are the exception and are deleted after three days.

Your choices

A student, parent or guardian may ask the centre to see what the system holds about them, to correct anything wrong, or to stop the WhatsApp messages. Ask at the centre the student is enrolled at, or write to the address below.
